Hot Desking: Logging In to Any Phone

Hot desking lets anyone log in to a shared desk phone with their own extension using a short code. The phone reloads with their number and keys, then goes back to its usual number when they log out.

Before you start

Hot desking only works on phones set up through Voice → Phones. Each hot desk phone needs its own default number or extension, which it uses when nobody is logged in.

Setting up a hot desk phone

  1. In Voice → Phones, add or edit the phone.
  2. Turn on Hot Desk Facility.
  3. Optionally, add keys for hot desk log in and log out so people can use one button.
  4. Save.

Logging in

  1. Dial *45 on the hot desk phone.
  2. Enter your extension (for example 12) or your full number, then press #.
  3. If your extension has a PIN, enter it and press #.

The phone reloads with your settings in 10 to 20 seconds. Some models restart to do this, which takes a little longer. You can also dial *45 followed by your extension in one go.

Logging in on one phone logs you out of any other hot desk phone.

Logging out

Dial *46. The phone goes back to its default number. To log yourself out of a phone you've left, dial *46 followed by your extension from any phone.

If you hear a connection error, the phone isn't set up as a hot desk phone. Check step 2.
