How to Set Up the AI Answer Agent to Take Messages and Book Appointments
The Answer Agent is a smart replacement for voicemail. It greets callers in a natural voice, collects the details you choose (name, number, what they need), can answer questions about your business, and can even book appointments. Every message is emailed to you with a transcript.

Setting Up the AI Answer Agent, Step by Step
Create your business profile
Go to AI → Answer Agent (Beta) and click Create Business Profile. Add your business details, services and hours; this is what the agent uses to answer callers’ questions.
Choose the mode and voice
Under General Settings set Mode to Message only (a smart voicemail) or Full (answers questions and takes messages). Pick a voice and edit the welcome message; use {$biz} to insert your business name automatically. Tick Confirm details before finalising the message if you want the agent to read details back to the caller.
Pick the details to collect
Under Fields to Collect add the fields you want from each caller: Name, Contact Number, Message, Email Address, Account Number, Company Name, Service Address, or a custom field. Mark the ones that are required.
Enable appointment booking (optional)
Tick Enable local appointment scheduling, set the default duration, earliest booking time, slot interval and how many options to offer, and enter your working days, breaks and time zone. Use Open Calendar to see bookings.
Turn it on for your number
Go to Voice → Line Manager, click the number, open Incoming Calls → Voice Mail and tick Send callers to the AI Answer Agent (instead of voicemail). Alternatively tick Prefer AI Answer Agent globally instead of Regular Voicemail on the Answer Agent page to use it on every line. Messages arrive by email and under AI → Recordings.
